Satyn Circle respects the privacy of its members, organisation users and website visitors.

This Privacy Policy explains how Satyn Circle ("Satyn Circle", "Satyn", "we", "us" or "our") collects, uses, stores, shares and protects personal information when you use Satyn Circle.

This policy applies to the Satyn Circle website, member platform, paid memberships, premium content, resources, organisation membership services, communications, events, sessions and related services.

1. Who We Are

Satyn Circle is a membership-based platform providing premium editorial content, resources, professional and personal development opportunities, organisation-managed memberships and related member services.

2. Information We Collect

Depending on how you use Satyn Circle, we may collect the following categories of information.

Account Information

This may include: Name; Email address; Telephone number; Username; Password or authentication credentials; Profile photograph; Job title; Organisation; Industry; Professional interests; and other information you choose to include in your profile.

Membership and Transaction Information

This may include: Membership plan; Membership status; Membership start and expiry dates; Renewal history; Transaction references; Billing contact information; Invoice information; and Payment status.

Satyn Circle memberships are purchased through one-time payments and do not automatically renew. If a member wishes to renew an expired or expiring membership, a new payment must be completed.

Payments may be processed by third-party payment providers. Where a third-party payment provider processes your payment, Satyn Circle may not receive or store your complete payment-card information.

Organisation Membership Information

Where an organisation provides or manages your Satyn Circle membership, we may receive information such as your name, work email address, job title, department or business unit, organisation name, membership allocation, membership status, date of invitation or activation, membership expiry date, and other information provided by the organisation for administering membership.

Platform Usage Information

We may collect information relating to your use of Satyn Circle, including: login activity; pages viewed; articles or resources accessed; downloads; session activity; feature usage; device information; browser type; IP address; approximate location derived from technical information; referral information; and security and system logs.

Communications

If you contact us, complete a form, participate in a survey or communicate with Satyn Circle, we may retain information contained in those communications.

Events and Sessions

If you register for a workshop, discussion, webinar, programme or event, we may collect registration details, attendance information, questions submitted, feedback, professional interests, and information reasonably required to organise the programme. If a session is recorded, participants will be informed where appropriate.

Marketing Preferences

We may record whether you have agreed to or opted out of newsletters, promotional messages and other marketing communications.

3. Information Provided by Organisations

An organisation may provide member information to Satyn Circle for the purpose of establishing and managing organisational memberships.

The organisation is responsible for ensuring that it has the necessary authority and lawful basis to provide this information to Satyn Circle.

Depending on the relevant processing activity, Satyn Circle may act as an independent data controller or may process certain information on behalf of the organisation.

Where appropriate, separate contractual data-protection arrangements may apply between Satyn Circle and an organisation.

4. What Organisation Administrators May See

Where your membership is provided or managed by an organisation, authorised organisation administrators may be able to see information necessary to administer that membership, such as your name, work email address, membership status, date of activation, membership expiry date, membership allocation, account status, and other administrative information made available through the organisation dashboard.

Where Satyn Circle introduces engagement reporting or analytics for organisations, we will aim to clearly identify what information may be visible to organisation administrators.

Satyn Circle does not intend to make private communications, passwords, payment credentials or unrelated personal information available to organisation administrators merely because they sponsor a membership.

5. How We Use Personal Information

We may use personal information to: create and maintain accounts; provide member access; manage membership periods and expiry; process membership purchases and manual renewals; send membership expiry or renewal reminders; authenticate users; provide premium articles and resources; administer organisation memberships; process payments and maintain transaction records; provide customer support; communicate service updates; send newsletters and marketing communications where permitted; personalise content or recommendations; organise sessions, programmes and events; analyse Platform use and improve our services; maintain security and prevent fraud; diagnose technical problems; enforce our Terms and Conditions; meet accounting, tax, regulatory and legal obligations; and establish, exercise or defend legal rights.

6. Basis for Processing

Where required by applicable data-protection law, we process personal information on an appropriate lawful basis. Depending on the circumstances, this may include: processing necessary to provide a membership or service you requested; your consent; compliance with legal obligations; our legitimate interests in operating, securing and improving Satyn Circle; the legitimate interests of an organisation managing a valid membership programme; or another lawful basis available under applicable law.

Where processing is based on consent, you may withdraw that consent, subject to applicable law. Withdrawal of consent does not affect processing that was lawful before consent was withdrawn.

7. Marketing and Membership Communications

Members may receive service-related communications necessary to operate their accounts.

We may also send membership expiry and renewal reminders. These reminders do not constitute automatic renewal and no renewal payment will be taken without the member actively completing a new purchase.

Where permitted, we may send newsletters, invitations, Satyn updates, membership offers and information about relevant programmes.

You may unsubscribe from marketing emails using the unsubscribe link contained in the communication or by contacting us. Unsubscribing from marketing messages does not prevent us from sending essential service, payment, security or account-related communications.

8. Cookies and Similar Technologies

Satyn Circle may use cookies and similar technologies to keep users signed in, maintain Platform functionality, remember preferences, protect accounts, understand Platform performance, analyse website traffic, and improve user experience.

Where required, we will obtain consent before using non-essential cookies or similar technologies. Additional information may be provided through a separate Cookie Notice or cookie-management tool.

9. How We Share Information

We do not sell personal information to advertisers.

We may share personal information with trusted third parties where reasonably necessary to operate Satyn Circle, including website and cloud-hosting providers; payment processors; email and communication platforms; analytics providers; IT and security providers; customer-support providers; event or session technology providers; professional advisers; auditors; contractors working on our behalf; and government, regulatory or law-enforcement authorities where legally required.

Service providers are expected to process information only for authorised purposes and subject to appropriate confidentiality and security obligations.

10. Organisation Administrators

If your membership is purchased or managed by an organisation, information necessary to administer your membership may be shared with authorised administrators of that organisation.

We recommend that members also review their organisation's privacy policies because the organisation's own use of member or employee information is governed by its policies and applicable law.

11. International Processing

Satyn Circle may use service providers or technology infrastructure located outside Sri Lanka. As a result, personal information may be processed or stored in another country.

Where applicable law requires safeguards for international processing or transfers, we will take reasonable steps to implement appropriate contractual, organisational or legal safeguards.

12. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing membership services; maintaining membership and renewal records; maintaining business and accounting records; resolving disputes; preventing fraud; meeting regulatory or legal obligations; and enforcing agreements.

Different categories of information may be retained for different periods. When information is no longer reasonably required, we may delete, anonymise or securely dispose of it, subject to applicable legal requirements.

13. Data Security

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, disclosure and destruction.

However, no internet-based platform or electronic storage system can guarantee absolute security. Members should use strong passwords and protect their login credentials.

14. Your Privacy Rights

Depending on your location and applicable law, you may have rights relating to your personal information, which may include the right to request information about how your data is processed; request access to personal information; request correction of inaccurate information; request deletion where legally available; object to or restrict certain processing; withdraw consent where processing relies on consent; request portability where applicable; and lodge a complaint with an appropriate data-protection authority.

Certain rights may be subject to exceptions or limitations under applicable law. To submit a privacy request, contact circle@satynmag.com. We may need to verify your identity before completing a request.

15. Account Closure

You may request closure of your Satyn Circle account.

Closing an account does not necessarily require immediate deletion of every record associated with the account. We may retain information where reasonably necessary for legal, accounting, security, dispute-resolution or regulatory purposes.

Where an organisation controls your membership, removal from that organisation's membership programme may terminate your Platform access.

16. Children's Privacy

Satyn Circle's paid membership platform is intended primarily for adults.

We do not knowingly seek to establish paid membership accounts directly with children who do not have legal capacity to enter into the relevant membership agreement.

If a future Satyn Circle programme is specifically designed for younger participants, additional privacy information and consent procedures may apply.

17. Third-Party Websites

Satyn Circle may contain links to third-party websites, resources and services. Their privacy practices are governed by their own policies. Satyn Circle is not responsible for the privacy practices of independent third parties.

18. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in law or regulation; Platform functionality; membership services; technology; data-processing practices; or our organisational structure.

The updated policy will be published with a revised "Last updated" date. Where a change materially affects how personal information is handled, we may provide additional notice where appropriate.
